Cancellations
Cancellation Policy
Standard Cancellation:
You will receive a full refund of your deposit if you cancel 7 days or more before your check-in date. Cancellations made within 7 days of arrival will result in a loss of the deposit.
Group Reservations:
This policy does not apply to Group bookings (e.g., meetings, events, conferences). Please review the booking rate rules and contact the group organizer for more information.
Reservation Changes:
Any changes to existing reservations are subject to availability and may result in a rate adjustment.
Holiday & Event Cancellation:
For the following holidays and events, cancellations must be made at least the specified number of days before the check-in date to receive a full refund:
William & Mary Graduation: May 15-17 – 180 days before check-in
Williamsburg Live: 14 days before check-in
Colonial Williamsburg July 4th Celebration: June 30 – July 4 – 14 days before check-in
William & Mary Parents Weekend: September 27-30, 2024 – 30 days before check-in
William & Mary Homecoming Weekend: October 17-20, 2024 – 30 days before check-in
Thanksgiving: November 27-29, 2024 – 60 days before check-in
Colonial Williamsburg Grand Illumination:
December 6-7, 2024 – 30 days before check-in
December 13-14, 2024 – 30 days before check-in
December 20-21, 2024 – 30 days before check-in
Christmas Week: December 22-31, 2023 – 30 days before check-in
Note: Some exclusions may apply. This policy may exclude periods with special event restrictions or peak demand weeks. Please refer to the property’s Rate Details for specific terms or exceptions when booking or changing reservations.
Non-Smoking
Armistead House is a 100% smoke-free hotel. To ensure a safe and pleasant environment for all our guests and staff, we prohibit the following within our facility:
Smoking of tobacco, marijuana, or illegal drugs
Use of e-cigarettes, vape pens, or nicotine cartridges
Hookahs, incense, and candle burning
Cooking
The use or diffusion of strong-smelling plant-based essential oils, such as patchouli, or synthetic products
These activities can create odors that are unhealthy, objectionable, and difficult to remove from the air, carpets, walls, and furniture. Guests are encouraged to notify the front desk immediately if they detect any cigarette, marijuana, or other objectionable odors.
A minimum fee of $700.00 will be charged for any violation of this policy.
Check-In & Check-Out
Check-In: 3:00 PM or later on the day of arrival.
Check-Out: By 11:00 AM on the day of departure.
Please ensure you check out by 11:00 AM to allow housekeeping to prepare the room for our next guests. Late check-outs will incur an additional charge equivalent to a full day’s rate.
Damage and/or Theft
You are responsible for any damage to your room(s), the hotel’s premises, or property during your stay, whether caused by deliberate, negligent, or reckless acts, and whether caused by you or anyone in your party, including those not staying at the hotel. Armistead House reserves the right to retain your credit or debit card details and, at its sole discretion, charge the card for any costs necessary to repair or replace damaged property, cover cleaning fees, or compensate other guests affected by your actions. This may include, but is not limited to, charges for property damage, missing or damaged items, smoking fees, excessive cleaning fees, and guest compensation. If damage is discovered after your departure, you authorize Armistead House to charge your card for any related costs incurred. By booking with us, you agree to this policy and accept full financial responsibility for any damages caused.
Damage to Room(s)
Any damage to rooms, fixtures, furnishings, or equipment—including but not limited to the removal of electronic devices, towels, artwork, or other items—will result in a charge of 150% of the full replacement value, plus any applicable shipping, handling, and administrative fees. The registered guest for each room is fully liable for any damage to hotel property, whether caused by accidental, negligent, or willful actions, either by themselves or by any person in their party, whether staying at the hotel or not. Armistead House reserves the right to charge the full cost of repairs or replacement to the credit card on file for the registered guest, without prior notice. In the event of severe damage or deliberate destruction of property, Armistead House reserves the right to pursue criminal charges, seek legal remedies, and recover all costs associated with the damage, including but not limited to legal fees, loss of revenue, and any other associated expenses. By booking a stay at Armistead House, guests agree to these terms and accept full financial responsibility for any damages caused during their stay.
Damage to Mattress and/or Linens
Any damage to mattresses, linens, or related items—including but not limited to towels, mattress pads, sheets, bedspreads, and blankets—resulting from the use of body oils, makeup, shoe polish, or similar substances, will result in a charge of 150% of the full replacement value, plus any applicable shipping, handling, and administrative fees. This charge covers the cost of special cleaning, repair, or replacement of the damaged items.
Damage or Tampering with Fire Fighting and/or Detection Equipment
Armistead House reserves the right to take immediate action against any guest or visitor found to have tampered with or interfered with any fire detection or firefighting equipment within the hotel premises. This includes, but is not limited to, detector heads in public areas and guest rooms, break glass points, and fire extinguishers. Guests or visitors who tamper with or disable any fire detection or firefighting equipment will be held fully liable for any costs incurred by the hotel as a result of their actions. This includes, but is not limited to, the cost of repairs, replacements, and any necessary safety inspections. Such individuals will be evicted from the hotel immediately, and depending on the severity of the actions, law enforcement may be involved at the hotel’s discretion. If it is discovered after a guest's departure that fire detection or firefighting equipment was tampered with, Armistead House reserves the right—and you hereby authorize us—to charge your credit or debit card for all related damages. This includes, without limitation, charges for property damage, missing or damaged items, smoking fees, cleaning fees, guest compensation, and any other costs associated with the incident.
Infestation
The cleanliness of our rooms is of the utmost importance to us and our guests. If you bring any infestation into your room or onto our hotel premises, Armistead House reserves the right to charge you for any and all costs associated with addressing the issue. This includes, but is not limited to, the cost of immediate or urgent pest control services, deep cleaning, and any loss of room revenue resulting from the infestation.
Right to Refuse Service
Armistead House is a privately owned and operated establishment. We reserve the right to refuse service to anyone for any reason that does not violate federal or state laws.Armistead House maintains a zero-tolerance policy and reserves the right to deny entry, refuse service, or remove any person from the premises without refund if they fail to comply with the reasonable standards and policies established by the owners and in accordance with U.S. law. This includes, but is not limited to, the following circumstances:
Non-Payment: Failure or refusal to pay for accommodations.
Disorderly Conduct: Being under the influence of alcohol, drugs, and, or, other intoxicating substances, and acting in a manner that disturbs the peace or safety of other guests or violates state liquor laws.
Supervision of Minors: Failure to properly supervise children at all times.
Unlawful Purposes: Seeking to use the hotel for any unlawful purpose.
Prohibited Items: Bringing onto the premises any unlawfully possessed firearms, explosives, hazardous or toxic substances, or any other items that may be dangerous to others.
Property Damage: Destroying, damaging, defacing, or threatening harm to hotel property or guests.
Occupancy Limits: Exceeding the maximum allowable occupancy of a room.
Violation of Policies: Refusal to abide by the reasonable standards or policies established by Armistead House for the operation and management of the hotel.
Lost & Found
Armistead House assumes no liability for lost, misplaced, stolen, or damaged valuables or belongings. If you realize that you have left something behind, please contact us immediately, and we will make every effort to assist you in locating your lost item.
While Armistead House is not responsible for any items left behind by guests, any non-perishable items found after departure by our Housekeeping staff will be collected, logged, and kept in a secure location for up to thirty (30) days. We will make a reasonable effort to notify the guest that an item has been found. Please note that perishable items, underwear, and miscellaneous toiletries will be discarded.We are happy to return lost items to you upon request. Your credit card will be charged for packaging and postage costs, plus a 25% handling fee. A separate receipt will be emailed to you. Armistead House is not responsible for any items lost or misdirected during shipment.
Lost & Found items will be held for thirty (30) days while we attempt to contact the guest. If we are unable to reach the guest due to incorrect contact information or a full voicemail box, the unclaimed item(s) will be discarded, donated to local organizations, or disposed of at Armistead House's discretion after the thirty (30) day holding period.
Parking
One parking space is provided at the rear of the hotel for each room booked. All vehicles are parked at the owner's risk. Armistead House assumes no liability or responsibility for any vehicle, its occupants, or its contents while parked on or near hotel property.
Candle(s), Incense, Essential Oils
The use of candles, incense, and essential oils (including diffusing, vaporizing, etc.) is strictly prohibited. These items and activities will be treated as smoking, and a corresponding fine will be assessed. Additionally, guests may be evicted without a refund for violating this policy.
Cooking, Cooking Appliances, Combustibles, or Fireworks
The safety of our guests, staff, and facility is of utmost importance. The preparation of food in guest rooms using any type of cooking appliance is strictly prohibited. This includes, but is not limited to, coffee makers, hot plates, toaster ovens, water heaters, rice cookers, combustible items, open flames, barbecue grills, burners, heating appliances, or any other items intended for cooking. A minimum fee of $700.00 will be charged for any violation of this policy. Additionally, open fires, flames, cooking grills (charcoal or gas), and fireworks are not permitted anywhere on hotel property.
Maximum Occupancy
Room occupancy is strictly regulated based on fire code and safety restrictions. If the number of guests in your room exceeds the maximum allowed, you will be required to rent an additional guestroom for proper accommodations or vacate the hotel.
By booking a stay at Armistead House, guests agree to adhere to all of the policy terms and conditions above. Failure to comply may result in immediate eviction without refund and, if necessary, involvement of law enforcement.
